Acceptable Use Policy

Effective date: 5 November 2026

This policy forms part of the QuoteBalance Terms of Service. It applies to you and everyone who uses QuoteBalance under your account.

You must not use QuoteBalance to:

  1. Send spam. This means unsolicited marketing by WhatsApp, email, SMS or any other channel. Direct marketing must follow section 69 of POPIA: you need the person's prior opt-in consent, or they must be your existing customer and the marketing must be for similar goods or services, and every message must include an easy, free way to opt out. Quotes, invoices and reminders about work the customer asked for are fine.
  2. Issue unlawful, false or fraudulent documents. This includes:
  3. fake quotes or invoices;
  4. charging VAT when you're not a registered VAT vendor, or showing a VAT number that isn't yours;
  5. impersonating another business;
  6. phishing, or payment links that don't go to you; and
  7. quoting for goods or services that are illegal.
  8. Break the law or others' rights, including POPIA, consumer protection, tax, and intellectual property law. You must not upload personal information you have no lawful basis to process.
  9. Upload harmful content, such as malware, or content that is abusive, threatening, discriminatory or defamatory.
  10. Abuse or test our security. That includes:
  11. probing, scanning or penetration-testing QuoteBalance without our written permission;
  12. trying to reach another business's data;
  13. bypassing plan limits, rate limits or authentication; and
  14. overloading the service. If you find a vulnerability, report it privately to [email protected] and don't exploit it.
  15. Scrape or copy QuoteBalance. Don't use bots, crawlers or automated means to extract data or content from QuoteBalance, including public quote pages. The exceptions are your own data, exported through the export tools, and any API we provide for that purpose. Don't copy QuoteBalance's features or templates to build a competing product.
  16. Resell or share access. You may not resell, rent, sub-license or white-label QuoteBalance. Don't share one login between people, and don't offer QuoteBalance as a bureau service to other businesses unless we've agreed in writing.

What happens if you break this policy

We may remove content, pause sending, or suspend or close the account, as the Terms of Service describe. If the law requires us to, we may also report the matter to the authorities. Where practical, we'll warn you first and give you a chance to fix the problem.
