Refund and Cancellation Policy
Effective date: 5 November 2026 Last updated: 5 November 2026
This policy explains how billing, cancellation and refunds work for QuoteBalance at quotebalance.co.za. It forms part of our Terms of Service. The seller is Ryan Bradley Roby trading as Silver Horizon Digital; full details are on our Seller information page.
1. Plans and billing
- Plans. At launch: Free (1 user, 10 quotes and invoices a month, with a QuoteBalance footer on documents), Solo (R149 a month) and Team (R299 a month for up to 5 users). Current plans and limits are on our pricing page.
- Founding offer. Solo at R99 a month, locked for 12 months, for the first 50 businesses to subscribe to Solo. After 12 months, your price moves to the standard Solo price then in effect. We'll email you at least 30 days before.
- How billing works. Paid plans are billed monthly in advance in South African rand (ZAR) through our payment provider Paystack. Your subscription renews automatically until you cancel. We don't see or store your full card details; Paystack handles them.
- VAT. Subscription prices are not subject to VAT because Silver Horizon Digital is not a registered VAT vendor. If we register for VAT in future, VAT will be added to our prices, with notice under the price-change clause in our terms.
2. Failed payments
Paystack does not automatically retry a failed subscription charge. If a payment fails: - we'll email you when it fails, and again before day 14, so you can update your card or pay through the payment link we send; - you keep your paid features until 14 days after the failed charge. If it's still unpaid by then, your account moves to the Free plan; - paying the amount due restores your plan; - we will never delete your data for non-payment without notice (see section 9 of our terms).
3. Cancelling a paid plan
- Any time. Cancel in your account settings or by emailing [email protected].
- Access. You keep paid features until the end of the period you've already paid for. Your account then moves to the Free plan.
- Cancelling is not closing your account. Cancelling stops your paid plan, and your account and data stay on the Free plan. If you close your account instead, you can ask for an export during the period set out in section 9 of our Terms of Service. After that, your data is deleted as section 9 of our Terms of Service and section 7 of our Privacy Policy describe. We keep billing records for as long as the law requires.
- No part-month refunds. We don't refund part of a month you've started, except where the law requires it (see sections 4 and 5) or as section 6 says.
- Founding price. The R99 founding price applies only while your business stays on Solo without a break. It ends if you cancel, move to Free or Team, or are moved to Free after non-payment, and it doesn't come back. The standard Solo price then in effect applies if you subscribe to Solo again.
4. 7-day cooling-off (ECTA section 44)
QuoteBalance is sold to businesses. Even so, if you are a natural person (for example a sole trader) and ECTA section 44 applies to your purchase, you may cancel within 7 days after the transaction without reason or penalty, and we will refund what you paid within 30 days. If you're unsure whether this applies to you, ask us and we'll treat a cancellation within 7 days of the first charge for a paid plan as covered.
5. Consumer Protection Act (CPA)
- Our monthly plans have no fixed term and no cancellation penalty.
- If the CPA applies to you and you are on a fixed-term agreement, section 14 lets you cancel at any time with 20 business days' notice in writing or another recorded form. You stay liable for amounts owed up to cancellation, and we may charge only a reasonable cancellation penalty, as the CPA regulations allow.
- The CPA generally doesn't protect juristic persons (such as companies) whose asset value or annual turnover is at or above the threshold set by the Minister.
- Nothing in this policy limits any right you have under the CPA or ECTA that can't lawfully be excluded.
6. Other refunds and changes
- Our mistakes. If we charge you in error (for example a double charge or a charge after you cancelled), we'll refund the wrong amount in full.
- Pro-rata refunds in our terms. We refund prepaid fees for the unused period, pro rata, if:
- we remove a major feature you pay for and you cancel (Terms section 7);
- you have a reasonable data-protection objection to a new sub-processor and you cancel (Terms section 10.6); or
- we make a material change to our terms and you cancel before it takes effect (Terms section 12).
- How refunds are paid. Refunds go back through Paystack to the card you paid with. How long the refund takes to reach you depends on your bank.
- Upgrades and downgrades. A move to another plan takes effect from your next billing date.
- Downgrade limits. When you move to a plan with lower limits:
- your existing data stays viewable and exportable;
- new documents count against the new plan's limits (on Free, 10 quotes and invoices a month, with the QuoteBalance footer);
- users above the new plan's user limit lose access, and the account owner keeps access.
- App stores. If you subscribe through the App Store or Google Play (coming later), that store's refund and cancellation rules apply, and you manage the subscription there.
